Organising an Event

Stainsborough Hall is a great venue for all types of events, from group meals to weddings.  Indeed, we are keen for people to use our communal spaces for events and parties and we are happy to work with you to make it a special celebration.  


If your party or celebration is confined to the property rented and will not include people coming in from the outside - while that is an event to you - it's not an event for us.


just the house rules apply.  However, if you are planning a large event the following does apply.  These terms and conditions are intended to make sure that everyone remains safe to enjoy themselves and to ensure that excessive demands are not put on our infrastructure (we are in a rural location).  We also want to make sure that activities don’t negatively impact other guests, those around us or make life too difficult for our staff.


We do require that you speak to us in advance about your plans and get approval for all of your proposed activities – but we are very reasonable people and really do want to help. 


Below is a list of the terms and conditions associated with holding events at Stainsborough Hall.  

  1. To hold an event at Stainsborough Hall to which more than 42 people will be invited, the entire estate must be booked for a minimum of two nights and include the period when you want to hold the event.  Where set-up and take-down days are required – you will need to pay for the estate on these days too.

  2. There is a charge for all additional guests, above the 42 named guests, at a cost of £20 per person, per day.  A guest list will need to be provided and maximum numbers will be set according to the fire regulations for each space.

  3. Additional car parking (10 spaces are included in the hire of the cottages) can be made available at a cost of £5 per car, per day.

  4. All additional guests will have to leave the property by 12.00am (midnight) and additional cars cannot be left overnight without approval.

  5. Crockery, glasses and other items found in the properties cannot be used for events or parties.  Alternatives can be provided and there is a hire cost associated with these items (breakage fees will apply).

  6. Stainsborough Hall is a licensed premises and alcohol for parties and events taking place in communal spaces or on our fields must be purchased from us, or a corkage charge will be applied.  A staffed bar can be provided with a minimum bar spend or you can pay the staff fees directly.  Alternatively, we can provide alcohol on a sale or return basis that you can use to serve yourselves.  Alcohol must not be served to anyone under the age of 18 in these areas.  A price list is available upon request.

  7. The hiring or use of hot tubs, speaker systems, karaoke machines, discos or other such entertainment systems is possible with pre-approval, but a generator MUST be hired to power any such equipment. There is an additional cost for water to fill hot tubs.There is an additional cost for water to fill hot tubs.

  8. Outside suppliers – for example caterers must be pre-approved by the owners – we also have a list of recommended suppliers. There may be a cost for their use of our facilities and we will need to see copies of their liability insurance.

  9. Should you wish erect other structures, for example: marquees, tipis or gazebos, bouncy castles, fairground rides, and additional toilets – the entire estate (Hall and Cottages) MUST be rented and there is an additional per-day field rental fee that must include the set-up and take-down days.  Suppliers will need to meet with the owners in advance to provide their credentials and insurance certificates, and also to agree access.  We will not accept liability for any such additional structures, nor the activities taking place in them.  The person who makes the reservation must be present for the set-up and take-down of these structures. 

  10. Where additional licenses are required – for example for live music – Stainsborough Hall will make any necessary applications and the costs will be passed on.  We do not permit suppliers or guests to apply for licenses associated with our premises. 

  11. We do not allow outside fires, fireworks or Chinese Lanterns.

  12. Smoking is not permitted inside the premises.  It is permitted outside as long its not affecting other guests.  Please get rid of stubs responsibly.

  13. Professional photography is not permitted within the grounds or buildings without written approval of the owners.  Photographs cannot be used for any commercial or promotional purpose without the prior written approval of the owners.

  14. Signage cannot be added to the drive, road or surrounding areas.

  15. All areas must be left as they were found.  Additional cleaning charges will be applied to your deposit at a rate of £30 per hour where we have to do the clearing up for you.
