Event Terms and Conditions

Stainsborough Hall is a relaxed estate that’s a great place to get together with groups of friends or families.

 

We do not accept reservations for parties or events that will be attended by people not staying at the property.  (Any reservations made previously will be honoured according to terms and conditions in place at the time of booking).

 

The terms and conditions detailed below are intended to make sure that everyone remains safe to enjoy themselves and to ensure that excessive demands are not put on our infrastructure (we are in a rural location).  We also want to make sure that activities don’t negatively impact other guests, those around us, or make life too difficult for our staff.

 

To host a group at the Stainsborough Hall Estate you can either rent the house (20 people) or the cottages (24 people).  The house and cottages are not bookable together, nor is it possible to book the house with one or two cottages and expect that the guests can join you in the main house (we don’t have the chairs to support this!).

 

Groups/Parties/Events at the Hall

  1. The maximum occupancy at the Hall is 20 people and only guests staying in the Hall can be invited to attend the celebrations in the property. 

  2. There is space for 10 cars in the car park and for security reasons you will be asked to provide the car registration details for each car you will be bringing. 

  3. We do have a hot tub at the Main House which will be made available upon payment of the supplement.  Please do not use ‘glass’ in the hot tub - plastic glasses have been provided.  

  4. The hiring or use of speaker systems, karaoke machines, discos, or other such entertainment systems is possible with pre-approval, but a generator MUST be hired to power any such equipment. 

  5. The erection of marquees, tipis or gazebos, bouncy castles, and fairground rides, etc. can only take place on the field below the Ha-Ha - we will provide a map showing you exactly where these things can be placed.  Nothing can be erected on the main lawns.  

 

Groups/Parties/Events in the Cottages

  1. The maximum occupancy in the Cottages is 24 people - guests not staying at the property cannot be invited to attend the celebrations. 

  2. Activities can only take place within the cottage gardens and the Games Room area.  Access to the Hall, its gardens, and the parking area is not available for Cottage Guests. 

  3. There is space for 12 cars in the cottage car park and for security reasons you will be asked to provide the car registration details for each car you will be bringing. 

  4. The hiring or use of hot tubs, speaker systems, karaoke machines, discos or other such entertainment systems is possible with pre-approval, but a generator MUST be hired to power any such equipment. 

  5. The erection of marquees, tipis or gazebos, bouncy castles, and fairground rides etc. is only permissible when you have hired all of the cottages and can only take place on the field next to the Games Room (This may not be possible all year due to our farming needs and there is a charge for mowing the field in advance or your arrival).  We will provide a map showing you exactly where these things can be placed.  Nothing can be erected on the lawns.

 

General T&Cs for All Events

  1. Outside suppliers – for example caterers must be pre-approved by the owners – we also have a list of recommended suppliers. There may be a cost for their use of our facilities and we will need to see copies of their liability insurance as well as receive details of their vehicles.

  2. Where marquees, tipis etc. have been hired by you - the items have to be delivered after 3pm on the day of your arrival and have to be collected before 10am on the day of your departure.  Where structures are left onsite outside these times - you will be charged the average nightly rate of your reservation for each day (or part there of) that the items are with us. 

  3. Suppliers of hot tubs, marquees, tipis or gazebos, bouncy castles, and fairground rides will need to meet with Stainsborough Hall Staff in advance to provide their credentials and insurance certificates, and also to agree access.  We will not accept liability for any such additional structures, nor the activities taking place in them.  The person who makes the reservation must be present for the set-up and take-down of these structures.  

  4. We do not permit suppliers or guests to apply for alcohol or entertainment licenses associated with our premises. 

  5. We do not allow outside fires, fireworks or Chinese Lanterns.

  6. Smoking is not permitted inside the premises.  It is permitted outside as long it’s not affecting other guests.  Please get rid of stubs responsibly.

  7. Professional photography is not permitted within the grounds or buildings without written approval of the owners.  Photographs cannot be used for any commercial or promotional purpose without the prior written approval of the owners.

  8. Signage cannot be added to the drive, road or surrounding areas.

  9. Banners, balloons, and any other decoration (e.g. glitter, confetti) can not be added to the internal walls or structures of the properties. 

  10. All areas must be left as they were found.  Additional cleaning charges will be applied to your deposit at a rate of £30 per hour where we have to do the clearing up for you.
